Guidelines For Scanning The Photograph, Signature And Marksheet Of Graduation

Before applying online, candidates must prepare scanned images of their photograph, signature, left thumb impression, and handwritten declaration as per the specifications outlined below.

1. Photograph Image

• Style: Recent passport-style, colored picture.
• Background: Light-colored, preferably white.
• Posture: Look straight at the camera with a relaxed expression.
• Lighting: Avoid shadows or squinting; use natural or soft light.
• Glasses: Ensure no reflections, and eyes are clearly visible.
• Restrictions: No caps, hats, or dark glasses (religious headwear allowed if it doesn’t cover the face).
• Dimensions: 200 x 230 pixels (preferred).
• File Size: 20 KB to 50 KB.
• Format: JPG or JPEG.
• Note: If the file size exceeds 50 KB, adjust scanner settings like DPI resolution or color settings during scanning.

2. Signature Image

• Ink: Black ink on white paper.
• Dimensions: 140 x 60 pixels (preferred).
• File Size: 10 KB to 20 KB.
• Format: JPG or JPEG.
• Note: Ensure the signature matches the one used during the examination. Signatures in CAPITAL LETTERS will not be accepted.

3. Left Thumb Impression

• Ink: Black or blue ink on white paper.
• Dimensions: 240 x 240 pixels (preferred) at 200 DPI (3 cm x 3 cm).
• File Size: 20 KB to 50 KB.
• Format: JPG or JPEG.

4. Handwritten Declaration

• Text: Write the declaration in English only using black ink on white paper.
• Dimensions: 800 x 400 pixels at 200 DPI (10 cm x 5 cm).
• File Size: 50 KB to 100 KB.
• Format: JPG or JPEG.
• Note: Ensure the declaration is written by the applicant. Any mismatch will result in disqualification.

Important Notes

• The signature, left thumb impression, and handwritten declaration must belong to the applicant.
• Uploaded documents should only occupy the specified spaces in the application form.
• Ensure clarity and quality of the scanned images to avoid rejection.

Procedure for Scanning Documents

1. Set scanner resolution to at least 200 DPI.
2. Use “True Color” settings for scanning.
3. Crop the image to remove unnecessary edges, ensuring compliance with required dimensions.
4. Save the scanned document in JPG or JPEG format. Example file names: image01.jpg or image01.jpeg.
5. Adjust size using cropping or resizing tools in software like MS Paint or MS Office Picture Manager.

Procedure for Uploading Documents

1. Access the online application form and locate the upload sections.
2. Click on the appropriate links to upload the Photograph, Signature, Left Thumb Impression, or Handwritten Declaration.
3. Browse and select the file from your system.
4. Click “Open” or “Upload.”
5. Verify the uploaded image quality using the preview option.
6. If any file doesn’t meet the specifications, re-scan and re-upload the document.
